More than ever before this has become a critical decision for your business. Agencies that can add value, provide innovative solutions, give exceptional delivery and do all this measurably and cost effectively are the ones that will come to the fore in this tough economic climate. However, we still see companies in this enlightened day and age making decisions in the conference and travel arena that are not based on these sound business principles.
Even today we still see companies making decisions based on venue/destination and based on personal tastes of the individual decision maker, rather than what is right for the programme participants!
In our view decisions should be based on the following key factors. These factors are critical in ensuring you select an agency who can do the job and this should be discussions that take place before you even set out to talk about your preferred destination.
- Experience. Does the company you are talking to have the experience of many destinations and events? This is vital in order to not only ensure they have the capability to deliver, but will really come to the fore in the event of things not going smoothly. Travel takes place in the real world and things change despite the best laid plans.
- Planning. How does the agency set about the task of organising the event? Is it aware of all the necessary considerations including such things as health and safety, disaster planning and so on? Do they have a clear time plan that all parties are agreed and working too? Are your budget considerations fully taken into account and are they trying to provide maximum value for you?
- Trust. Can you work in partnership with these people? Do they challenge your thought processes in order to jointly come up with the best solution? Will they become an extension of your strategic thoughts and operations? Do they have a positive ‘can do’ attitude to challenges presented to them?
- Creativity. This is the lifeblood of any agency. Without this, clients may as well do things themselves. Look for examples of this in practice via case studies.
- Quality. The chain of suppliers involved in any travel and events programme is complex. Are the agency supplier network able to match the overall quality required? Have they been through the process of due diligence and have a supporting track record?
These are our 5 key points to consider at the start of this process before you even talk about the destination. If you build your decision making on these you are much more likely to end up working with an agency that can provide the service you need. Otherwise your decision may be made because an agency has come up with a destination that appeals, but who have no chance of ever successfully delivering the programme for you.
